Once you’re enrolled in the ExpensifyApproved! accountants program, eligible client Workspaces automatically receive ExpensifyApproved! pricing. No additional setup is required.

As an ExpensifyApproved! partner, you can:

ExpensifyApproved! billing is available to accountants, bookkeepers, and consultants enrolled in the ExpensifyApproved! accountants program.

It’s designed for professionals who manage client Workspaces and want a simpler way to handle billing while maintaining visibility across their client portfolio.

Any client Workspace where you’re a Workspace Admin automatically receives ExpensifyApproved! pricing.


How ExpensifyApproved! pricing works

Partners enrolled in the ExpensifyApproved! accountants program receive preferred pricing designed specifically for accounting firms. Pricing depends on whether your clients use the Expensify Card, and all plans are billed on a pay-per-use basis with no annual commitment.

Clients using the Expensify Card

  • Up to a 50% discount, reducing the cost to $9 per active member per month for eligible clients.
  • Contact your Partner Manager for international pricing.

Clients not using the Expensify Card

  • $18 per active member per month.

Additional ExpensifyApproved! benefits

  • Pay-per-use billing with no annual subscription.
  • Eligible partners can earn revenue share based on their clients’ Expensify Card spending.

How ExpensifyApproved billing works

ExpensifyApproved! billing is designed to reduce administrative overhead for accounting firms.

For all Workspaces where you are the Workspace owner, Expensify sends a single monthly invoice to your account. You can then reconcile charges and invoice clients using your firm’s preferred billing process.

Each monthly invoice includes:

  • Active billable members.
  • Expensify Card discounts applied during the billing period.
  • Total monthly charges.
  • A breakdown of billed Workspaces.

How to centrally manage multiple client workspaces

Many firms create a dedicated administrative account, such as accounting@yourfirm.com, to manage all client workspaces from one place.

Using a centralized account helps you:

  • Manage Workspace access consistently.
  • Access billing receipts from one account.
  • Reduce the need to switch between multiple accounts.
  • Simplify administration across all client workspaces.

For all Workspaces where you are the Workspace owner, Expensify sends a single monthly invoice to your account. You can then reconcile charges and invoice clients using your firm’s preferred billing process. Add this account as a Workspace Admin to each client workspace you manage. How to use Client IDs for easier client billing

Client IDs make it easier to identify client Workspaces on billing reports, especially when managing multiple entities for the same client.

To assign a Client ID:

  1. Click the navigation tabs (on the left on web, on the bottom on mobile), then select Workspaces.
  2. Select the client workspace.
  3. Open Overview.
  4. Enter a unique Client ID.

For clients with multiple workspaces, use the same Client ID across each workspace to simplify reporting and reconciliation.


How to find billing receipts

Expensify billing receipts are available whenever you need them for reconciliation or client invoicing.

To find a billing receipt:

  1. In the navigation tabs (on the left on web, on the bottom on mobile) click Account.
  2. Choose Subscription.
  3. Select Billing history.

Who receives the monthly invoice?

The Workspace Owner receives the monthly invoice.

If you want your firm to pay the bill and invoice your clients separately, make sure you’re the Workspace Owner.

Why isn’t my client receiving ExpensifyApproved! pricing?

ExpensifyApproved! pricing is automatically applied to any Workspace where you’re a Workspace Admin.

If a client Workspace isn’t receiving partner pricing, verify that you’re listed as a Workspace Admin.

What if my clients don’t use the Expensify Card?

Clients that don’t use the Expensify Card are billed at the standard ExpensifyApproved! rate of $18 per seat per month.

Do I need a client ID for each workspace?

Client IDs are optional but recommended. Using consistent Client IDs makes billing reports easier to understand and simplifies reconciliation, especially for clients with multiple workspaces.
